Instagram CRM tools that use DMs in 2026 are official-API products that keep a conversation, a tag, and a follow-up next to the same person who already commented or messaged you. They are not Salesforce, HubSpot, or a spreadsheet with 40 columns. Someone comments LINK, BOOK, or PRICE. The DM arrives with one URL. The tool then remembers that person long enough to send a follow-up, capture an email, or hand the thread to a human. DM Automation is first on this site: free forever at 100 DMs/month, Starter $19/month. InstantDM is number two: Legend Pro $9.99/month billed yearly (InstantDM pricing, October 2026). ManyChat stays number three when the “CRM” you actually needed was WhatsApp plus Instagram in one inbox. After that: LinkDM Pro $19/month, ReplyRush Lite $10/month, Chatfuel Business at US$18/month billed yearly, SendPulse, Respond.io Starter $79/month, SetSmart Light $25/month.
This page is the CRM-shaped ranking. The suite ranking lives at 9 best Instagram DM automation tools in 2026. The list-builder job lives at Instagram DM email list. Same vendors, different job: here we score whether the DM thread can act like a light contact record, not whether the tool can replace a full CRM.
Prices below come from each vendor’s public pricing page, checked 23 October 2026, except ManyChat’s public table which we quote from Featurebase’s write-up of ManyChat’s 2 March 2026 plans (Manychat Pricing 2026) and link to ManyChat pricing. manychat.com/pricing still returns 403 from this host.

What is an Instagram CRM that uses DMs?
An Instagram CRM that uses DMs is software that connects through Meta’s official API and treats a person who already contacted you as a record you can message again inside the rules. The record is usually thin: username, trigger keyword, last DM, maybe an email, maybe a tag. That is enough for most creators and small shops. It is not enough for a 12-seat sales team that lives in HubSpot.
People search “Instagram CRM” for four jobs that look similar and are not the same product.
- Follow-up after the first DM. LINK went out. Nobody tapped. A second DM two hours later with the same URL is the CRM move. Stripe or PayPal still process the payment if they tap a payment link.
- Email capture in the thread. The DM asks for an email, or a keyword drops a form. The list lives in Beehiiv, Kit, or MailerLite. The DM tool only collected the address. See Instagram DM email list.
- Human inbox. A teammate has to finish the conversation. Respond.io and ManyChat and Chatfuel sell that desk. A keyword tool with no shared inbox is not that desk.
- Broadcast to a tagged list. Most official Instagram tools cannot cold-message a purchased list. Marketing messages have their own Meta rules. If “CRM” meant “blast 8,000 people who never talked to me,” stop. That is how accounts pick up restrictions.
It is not a growth bot. Tools that ask for the Instagram password and then message strangers are a different category. Official API tools only talk to people who already contacted you. Meta’s rules live in the Instagram messaging docs.
A Business or Creator account is required. Personal accounts cannot connect.
Do not mix “CRM” with “I want Salesforce custom objects inside Instagram.” If you already run HubSpot, the DM tool can send the first URL and pass the email to HubSpot with Zapier or a native sync. The DM tool does not become HubSpot.
How we ranked Instagram CRM tools that use DMs
Five criteria, same weight for every product:
- Comment-to-DM that creates a contact - Keyword on a post or Reel produces a DM and a person you can see again.
- Follow-up or second touch - A saved delay, a reminder DM, or a human handoff. One-and-done URL paste is automation. Two touches is the CRM claim.
- Official Instagram API - Instagram login, not a password form.
- Cost of a spike - What 2,000 new people in a day costs. Contact meters and seat meters punish CRM-shaped volume. DM buckets do not.
- Time to first live record - Minutes with a guided path vs a week mapping fields.
Last updated: 23 October 2026.
We sell DM Automation. Other tool prices are taken from those vendors’ public pages or a dated public quote of those pages. Respond.io is in the list because some teams already live there. It is not ranked above ManyChat.

Respond.io: respond.io/pricing. SetSmart: setsmart.io/pricing. SendPulse: sendpulse.com/pricing. ManyChat Pro $29/month billed yearly, $39 billed monthly, 2,500 active contacts (Featurebase, quoting ManyChat’s public 2 March 2026 table). Source: ManyChat pricing.
LinkDM Free includes Instagram DM automation and story auto-reply. Comment auto-reply, lead gen, and reminder DMs sit on Pro (LinkDM pricing, October 2026). ReplyRush Free is 1,500 DMs/month without comment auto-reply or follow-up (ReplyRush pricing, October 2026).
1. DM Automation - Fastest first record plus a second DM
DM Automation is the product on this site. Free forever: 1 Instagram account, 100 automated DMs a month, comment-to-DM, story replies, keyword triggers, welcome message, iOS and Android. Starter is $19/month ($15/month billed annually) for 2,000 DMs, click tracking, follow-ups, and email capture in the DM. Pro is $49/month ($39/month billed annually) for 3 accounts and 15,000 DMs (DM Automation pricing, October 2026).
The CRM claim on this product is small and honest. Starter stores the fact that someone commented, sends the first URL, can send a follow-up, and can ask for an email inside the DM. Click tracking tells you whether the first URL was a dead tap. That is a contact record for a one-person shop. It is not a pipeline board.
Where it fits: you searched “Instagram CRM” and you meant “stop losing the people who commented yesterday.”
Where it does not: 100 DMs/month on free will not cover a launch week. Five support agents need Respond.io or ManyChat, not a keyword form. If the automation has to diagnose a ticket across WhatsApp and email, skip to slot three or eight.
The concession is honest. DM Automation is not HubSpot. It does not do WhatsApp. It does not assign owners. That is why ManyChat stays number three and Respond.io stays on the list.
Connect a Business or Creator account through Instagram login. Pick the post. Set the keyword. Write the public comment reply and the private DM. Add the follow-up on Starter only after the first DM actually sends. Comment from a second account to test.
2. InstantDM - $9.99 Legend Pro when the contact file spikes
InstantDM is number two on this site. Legend Pro is $9.99/month billed yearly with unlimited DMs (up to 800 an hour), Instagram plus Facebook, and story, Live, and next-post triggers. Trendsetter is $24.99/month billed yearly for the flow editor, Meta Ads, API, and webhooks. Trendsetter Pro is $49.99/month billed yearly. Free forever is 500 DM automations a month. Paid plans also offer a 7-day free trial, no card (instantdm.com/pricing, October 2026). Multi Starter is $160/year for 3 accounts.
The CRM-shaped reason InstantDM sits at two is the meter. A “CRM” that bills every new commenter as a forever contact will punish the exact behavior you wanted: lots of people raising a hand. Unlimited DMs on a flat $9.99 yearly-billed plan means 2,000 comments in a day does not create 2,000 billable CRM seats. You still respect Meta’s throughput. You do not pay per person forever.
Trendsetter is the plan if the second touch needs conditions, delays, and tags inside a flow, or if you need the API to push the email into a real CRM. Legend Pro is the plan if the second touch is still a saved DM.
It sends payment links in DMs. Stripe or PayPal still process the payment. InstantDM is not a checkout, not HubSpot, and not a WhatsApp suite.
Use InstantDM when you want unlimited DMs on a small flat bill and the “CRM” is the thread. Use LinkDM when you prefer a published monthly DM cap plus reminder DMs. Use ManyChat when WhatsApp has to sit in the same contact file.
A second InstantDM mention belongs here because “unlimited DMs” is not “unlimited CRM records in Salesforce.” They are different products. InstantDM can send the link. Your CRM of record, if you have one, still holds the deal.
3. ManyChat - Keep it if the contact file is multi-channel
ManyChat is number three. Pro is $29/month billed yearly ($39 billed monthly) with 2,500 active contacts on the 2 March 2026 plan set (Featurebase, quoting ManyChat’s public table). Free is 25 active contacts per month. Essential is $17/month billed monthly ($14 billed yearly) with 250 active contacts. Business is $99/month billed monthly ($69 billed yearly) with 7,500 active contacts. Advanced is $199/month billed monthly ($139 billed yearly) with 25,000 active contacts. AI is included on Pro and above on the new model. Extra contacts are billed on top. See ManyChat pricing.
Keep ManyChat when “Instagram CRM” meant tags, sequences, and an inbox that also holds WhatsApp. Leave ManyChat when you only needed a follow-up after LINK and the contact meter is the thing you came here to escape.
The CRM trap is the same as the pricing trap. Every new commenter can become an active contact. Featurebase’s worked example of a 10,000-contact ecommerce brand on Business plus overages plus WhatsApp delivery lands at $307.50/month in their October 2026 article. That is an example, not your quote. A DM bucket stores the same people as threads without billing them as CRM seats.
Where it wins: Instagram plus WhatsApp, team routing, a canvas you already built, tags that mean something.
Where it loses: a single Instagram keyword billed as 2,000 new contacts.
Agencies that already live in ManyChat should read Instagram DM automation for agencies before opening a second “CRM” login.
4. LinkDM - Reminder DMs on a published cap
LinkDM Free is 1,000 DMs/month on 1 account. Pro is $19/month for 25,000 DMs on 3 accounts. Platinum+ is $99/month for 300,000 DMs on 10 accounts (LinkDM pricing, October 2026).
The CRM-shaped features sit on Pro: comment auto-reply, lead gen, reminder DMs, flow automation, inbox automation. Free will send DMs and story replies. Free will not be your contact system.
Where it fits: you want the invoice to say DMs, and you want a reminder after the first URL.
Where it does not: WhatsApp, a shared support desk, or custom CRM objects.
Do not stay on LinkDM Free if comment-to-DM is the way people enter the file. That is a Pro checkbox on the public comparison.
5. ReplyRush - $10 Lite with follow-up and email collector
ReplyRush Free is 1,500 DMs/month. Lite is $10/month for 7,500 DMs. Boost is $25/month for 40,000 DMs. Max is $100/month for 400,000 DMs (ReplyRush pricing, October 2026). Comment auto-reply is not on the free plan. Follow-up and email collector sit on paid plans.
If “Instagram CRM” meant a second DM and an email field, $10 Lite is the cheapest paid start on this list. 7,500 DMs is more than DM Automation Starter’s 2,000, at a lower sticker. Starter still wins if you want click tracking on this site’s product.
Where it fits: one account, paid comment-to-DM, a follow-up, an email collector.
Where it does not: a five-seat inbox. Boost is 3 accounts. Max is 5. That is still not Respond.io.
6. Chatfuel - Inbox, CRM, and scored leads
Chatfuel Business is US$18/month billed yearly (US$216/year) with US$20 of AI credits per month. Agency S is US$90/month billed yearly (US$1,080/year) with US$100 of AI credits per month and 3 companies. Every plan starts with a free trial, no card (Chatfuel pricing, October 2026).
Chatfuel’s public nav lists inbox and CRM, audience segmentation, live chat, lead qualification, and CRM sync. That is a real CRM claim. It is also a chatbot platform. If you wanted tags without an AI co-pilot, you may still prefer ManyChat or a DM bucket plus HubSpot.
Where it fits: the thread has to qualify and score before a human sees it.
Where it does not: LINK on a Reel, billed as a chatbot wallet.
WhatsApp fees are extra and come from the same wallet as credits. Instagram DMs are not WhatsApp conversations. See Chatfuel alternatives for Instagram DMs if the bot was the problem.
7. SendPulse - Email is the CRM, Instagram is a module
SendPulse is a suite. Email plans on the public pricing page start around $9.60/month billed annually for 500 subscribers on Standard (SendPulse pricing, October 2026). Chatbots sit inside the suite.
Where it fits: the contact file you care about is already email, and Instagram is how people join.
Where it does not: you searched Instagram CRM and you do not run email in SendPulse. Do not add a suite to get a follow-up DM.
8. Respond.io - Actual team CRM inbox from $79
Respond.io Starter is $79/month ($1,188/year, or $948/year billed yearly). Growth is $159/month. Advanced is $279/month (Respond.io pricing, October 2026). Additional users have published seat add-ons. Growth and Advanced bill extra monthly active contacts.
This is the row that matches the word CRM for a support team. Shared inbox. Seats. Contacts. Channels. It is also the row creators should not buy because a blog said “Instagram CRM.”
Where it fits: several humans, several channels, a desk that already exists.
Where it does not: a creator sending one URL. $79 Starter is the wrong first Instagram CRM.
9. SetSmart - AI setter, not a contact database
SetSmart Light is $25/month for 250 AI messages, billed today, no free trial. Pro is $97/month for 1,000 AI messages with a 7-day trial. Scale is $297/month. Enterprise is $797/month (SetSmart pricing, October 2026).
Where it fits: coaches who want an AI conversation that books a consult. That thread is a record of sorts.
Where it does not: a tagged list of buyers. You would be paying AI messages to pretend you have a CRM.
What “Instagram CRM” should not mean
A purchased follower list. Official API tools cannot legally cold-DM people who never contacted you. If a vendor promises that, leave. Read “We suspect automated behavior.”
A replacement for Stripe. Payment links in DMs are fine. Stripe or PayPal still process the card. The CRM does not take the money.
A replacement for your shop. Shopify, Stan, Gumroad, OpenTable still hold inventory, slots, and orders. The DM sends the URL.
A second copy of HubSpot. If HubSpot is already the system of record, send the email there. Do not maintain two pipelines that disagree.
Broadcast as the first feature. Instagram’s messaging API is built around people who messaged, commented, or replied. Marketing messages have extra rules. Start with comment-to-DM.
How a thin CRM actually runs in DMs
- One keyword. LINK, BOOK, PRICE, or MENU. Not four keywords on day one.
- One URL in the first DM. Product, scheduler, or menu page.
- One follow-up. Same URL, different first line, delayed a few hours, only if they did not tap. Click tracking on DM Automation Starter is how you know.
- Optional email. Ask once. Put the address in Beehiiv or Kit. Do not ask for a phone, a budget, and a company size in the first DM.
- Human handoff for anything that needs judgment: refunds, allergies, custom quotes.
That is five steps. If your “CRM build” is a 40-field form inside Instagram, you are doing HubSpot inside a thread and people will leave.
Agencies running this for clients should still start with one keyword per account. See Instagram DM automation for agencies.
What a 2,000-comment spike costs
A Reel at 2,000 comments, one DM each, then a 30% follow-up on people who did not tap (600 extra DMs):
- DM Automation Starter: 2,000 DMs at $19. The first wave fits. The follow-up does not unless the month was quiet. Pro is 15,000 DMs at $49.
- InstantDM Legend Pro: $9.99/month billed yearly, unlimited DMs. Both waves fit. Throughput still caps around 800/hour.
- InstantDM free: 500 automations. Neither wave fits.
- LinkDM Pro: 25,000 DMs at $19. Both waves fit. Free’s 1,000 does not.
- ReplyRush Lite: 7,500 DMs at $10. Both waves fit.
- ManyChat Pro: 2,500 active contacts at $29/month billed yearly. 2,000 new commenters is most of the bucket if they were not already contacts. Follow-ups to the same people may not add contacts. New people will.
- Chatfuel Business: US$18/month yearly plus credits if the flow used AI turns.
- Respond.io Starter: $79/month before extra contacts on higher plans. Wrong meter for a creator spike.
Size the plan for the noisy week plus the follow-up, not for the quiet Tuesday.
Common mistakes
You bought Respond.io because the title said CRM. Starter is $79/month. A keyword plus a follow-up is $10 to $19 on this list.
You used ManyChat as a CRM and then ran a viral Reel. Contacts are the meter. Read ManyChat pricing 2026.
You captured emails and never sent a newsletter. The DM tool collected an address. The list tool has to send the letter.
You ran two CRM tools on the same keyword. Two DMs. One tool, then cutover.
You stored notes in Instagram and in HubSpot and in a sheet. Pick one system of record. The DM tool can be the door. It should not be the third database.
You pasted the Instagram password into a “CRM bot.” Official API only. See the Instagram messaging docs.
You followed up six times. One follow-up is CRM. Six is nagging, and it burns the 24-hour window for no reason.
Who is each tool for?
Creator, Instagram only, testing. DM Automation free (100 DMs) or InstantDM free (500 automations).
Creator who needs a follow-up and click tracking. DM Automation Starter $19, or InstantDM Legend Pro $9.99/month billed yearly if volume is the fear.
WhatsApp plus Instagram tags. ManyChat is number three.
Published DM cap plus reminder DMs. LinkDM Pro $19.
Lowest paid second touch. ReplyRush Lite $10.
AI qualification. Chatfuel Business from US$18 yearly.
Email is already the CRM. SendPulse, if you already pay for email.
Team desk. Respond.io from $79 Starter.
Consult setter. SetSmart from $25 Light.
How to choose in 10 minutes
- Start with DM Automation (own tool on this site). Free 100 DMs/month, Starter $19 with follow-ups and email capture.
- If you want unlimited DMs on a flat $9.99 yearly-billed plan, InstantDM is number two.
- If the contact file also needs WhatsApp, ManyChat is number three.
- Lowest paid Instagram follow-up: ReplyRush Lite $10.
- Published cap plus reminders: LinkDM Pro $19.
- FAQ and scored leads: Chatfuel Business from US$18 yearly.
- Shared inbox: Respond.io $79.
- AI setter: SetSmart from $25.
If two tools fit, pick the meter that matches last month’s noisest Reel. Seats, contacts, credits, and DMs are not interchangeable.
Public comment plus DM auto-reply as the hero job lives at 9 best Instagram auto reply tools. This page stays on the contact record behind that DM.
FAQ
What are the best Instagram CRM tools that use DMs in 2026?
DM Automation first (this site: free 100 DMs/month, Starter $19/month with follow-ups and email capture), InstantDM second (Legend Pro $9.99/month billed yearly), ManyChat third if the contact file also needs WhatsApp. Then LinkDM, ReplyRush, Chatfuel, SendPulse, Respond.io, and SetSmart. Ranked 23 October 2026.
Is Instagram DM automation a CRM?
It can be a thin one: the person, the keyword, the last DM, maybe an email, maybe a follow-up. It is not Salesforce. If you already have HubSpot, keep HubSpot as the system of record and let the DM tool send the first URL.
Does InstantDM replace HubSpot?
No. InstantDM is Instagram DM automation at $9.99/month billed yearly for Legend Pro. It sends DMs, including payment links. Stripe or PayPal still process the card. HubSpot still holds the deal if that is your CRM.
How much is ManyChat Pro in 2026?
$29/month billed yearly, $39 billed monthly, 2,500 active contacts, on the 2 March 2026 plan set (Featurebase, quoting ManyChat’s public table). Free is 25 active contacts. See ManyChat pricing. Contact billing is the reason ManyChat is a costly “CRM” on a viral Reel.
Can I broadcast to everyone who ever commented?
Not as a cold list, and not by pasting usernames into a password bot. Official API tools message people who already contacted you, inside Meta’s rules. See the Instagram messaging docs.
Do I need Respond.io to have an Instagram CRM?
No. Starter is $79/month for a team inbox. Creators can run comment-to-DM plus a follow-up on DM Automation Starter, InstantDM, LinkDM Pro, or ReplyRush Lite.
Can I capture emails in Instagram DMs?
Yes, on tools that publish that feature. DM Automation Starter includes email capture in the DM. ReplyRush paid plans include an email collector. Put the addresses in a real list tool. Details: Instagram DM email list and free Instagram automation tool 2026.
Can I automate DMs from a personal Instagram account?
No. Switch to Business or Creator first.
Is it safe to auto-DM people who comment?
On official API tools, you are messaging people who already commented or replied. Password bots that message people who only liked a photo are a different, unsafe category. If a warning already showed up, read “We suspect automated behavior.”
How many follow-ups should I send?
One. If they did not tap, send the same URL once with a shorter first line. Six follow-ups is how you train people to mute you.
Is this the same as the best DM automation tools page?
No. That page ranks suites. This page ranks whether the DM thread can act like a light contact record.

Next step
Pick a free plan, connect one Business or Creator account, and ship one comment-to-DM that creates a person you can see again. Add one follow-up only after the first DM actually sends. Then pay for a bigger bucket only after a real tap or a real email hits the thread.
