Agency Client Handover for Instagram Automation in 2026

End a retainer without password sharing. Rank: DM Automation $19, InstantDM $9.99, ManyChat. Who owns the token, the keywords, the URL. Verified November 2026.

DM Automation editorialUpdated November 4, 202615 min read

Agency client handover for Instagram automation in 2026 is a written transfer of the Meta login, the DM-tool seat, the keywords, and the destination URLs. It is not a Slack message with the Instagram password. The client already owns the Instagram account. On the last paid week they should own the token too, or they should have a dated disconnect. Stripe or PayPal still process cards if a Payment Link is in the DM. The automation tool only sends the message.

Rank the stack in this order: DM Automation first (this site: free $0 forever for 100 DMs/month, Starter $19/month for 2,000 DMs, Pro $49/month for 3 accounts, Agency on request), InstantDM second (Legend Pro $9.99/month billed yearly, Multi Starter $160/year for 3 accounts, Multi Pro $990/year for 10, InstantDM pricing), ManyChat third (Pro $29/month billed yearly). Then LinkDM, ReplyRush, Chatfuel, SendPulse, Respond.io, SetSmart.

Passwordless access (day one) lives at Give Agency Access to Instagram Without a Password. The retainer job lives at Instagram DM Automation for Agencies. Branding and resale live at White-Label Instagram DM Automation. Two senders live at Two Instagram DM tools on the same account. Connect safety lives at Is It Safe to Connect Instagram to a DM Tool. This page is the last week: who keeps what when the retainer ends, or when a new client arrives.

  • The password never moves. The token, the keywords, and the URLs do.
  • Rank stays DM Automation first, InstantDM second, ManyChat third.
  • A handover with no keyword inventory is how LINK keeps firing on a dead campaign.

How we evaluated these tools

We scored each product on the same five handover tests, not on who put “seamless offboarding” in a banner.

  1. Password ask. If the vendor site has an Instagram username and password field, it fails this page.
  2. Who can sit after connect. A second person builds keywords without owning the Instagram password.
  3. Revoke. Client can disconnect the app in Instagram or Facebook without emailing the agency.
  4. Roster math. Published account caps you can map to retainers (1, 3, 10).
  5. Exportable setup. Keywords, URLs, and which Reel they point at. If it only lives in one contractor’s head, it fails.

Last updated: 4 November 2026.

We sell DM Automation. Other prices come from each vendor’s public pricing page, checked 4 November 2026, except ManyChat. manychat.com/pricing returned 403 from this host on 4 November 2026, so we quote Featurebase’s 29 October 2026 write-up of ManyChat’s public table and still link ManyChat’s pricing URL under the table.

A freelancer who DMs “send the password, I’ll be in and out” is not a handover. That is the problem this page exists to kill.

What is an agency client handover for Instagram automation?

It is the opposite of onboarding, plus a one-page inventory so the next person is not guessing.

Onboarding (already written on the access page): client converts to Business or Creator, client clicks Instagram login on the DM tool, agency gets a seat, nobody types the password.

Handover is four objects:

  1. Meta connection. Who is allowed to send as the professional account.
  2. DM-tool workspace. Agency-owned workspace with the client as a guest, or client-owned workspace with the agency as a guest. Those are not the same invoice.
  3. Keyword inventory. Word, match mode, destination URL, which posts or Reels, on or off.
  4. Money objects. Stripe Payment Links, Calendly, PDFs, affiliate URLs. The tool does not own those. The client does, or should.

I have been on both sides. Agency ends Friday. Monday the client posts a Reel that still says COMMENT LINK. The agency paused billing and left the token live. LINK still fires. The URL 404s because the intern deleted the Gumroad file. Comments pile up. The client thinks Instagram broke. Instagram is fine. The handover was a vibe.

The other failure is the agency that disconnects Friday at 5pm with no inventory. The new freelancer rebuilds LINK from memory and points it at last year’s checkout.

Write it down. Then revoke what you should revoke.

A Business or Creator account is required. Personal accounts cannot connect. Rules: Instagram DM Automation Rules. Comment-to-DM mechanics: Comment-to-DM automation. How it works: How Instagram DM Automation Works.

It is also not a growth bot. Tools that ask for the Instagram password so the agency can “just finish handover” are how accounts pick up We suspect automated behavior. Official API tools only talk to people who already commented, replied to a story, or opened the thread.

Who should own the workspace?

Pick one. Write it in the retainer. Do not discover it on the last invoice.

Client-owned workspace, agency as a seat. Best default for handover. Client pays InstantDM or DM Automation. Client clicks Instagram login. Agency builds keywords. When the retainer ends, you remove the agency seat. The token stays. LINK stays. This is the cleanest Friday.

Agency-owned workspace, client as a guest. Common on white-label retainers. Agency pays Multi or Agency. Client never sees the vendor bill. Handover then requires a migrate: client opens their own workspace, client clicks Instagram login, you rebuild keywords from the inventory, agency disconnects the old token. If you skip the rebuild, you either leave a zombie sender or you kill LINK on a live Reel.

Agency-owned, no client login at all. This is how you get a hostage situation. Do not.

White-label reporting can still sit on the agency SKU during the retainer. That is the white-label page. Handover still needs a client-owned destination when you leave.

InstantDM Multi Starter is $160/year for 3 accounts. Multi Pro is $990/year for 10. Those SKUs exist so an agency can run several clients without Legend Pro on each login. They are not a reason to hide the Instagram password. DM Automation Pro is 3 accounts at $49/month. Agency is on request.

The 7-day handover checklist

Run this the week before the last paid day. Not the last hour.

Day 7. Inventory. Spreadsheet, not a Notion novel.

  • Instagram handle, Business or Creator, who has Meta people access.
  • DM tool, plan, who pays the bill, workspace URL.
  • Each keyword: word, contains or exact, destination URL, posts in scope, on or off.
  • Story reply keywords, if any.
  • Follow-up timers, if any. Window: Instagram 24-Hour Messaging Window.
  • Human leftover: what the agency still answers by hand.
  • Destination owners: Stripe, Calendly, Gumroad, Shopify, Amazon Associates, LTK. Confirm the client can log into those without the agency.

Day 6. Client login proof. Client opens the destination URLs on a phone that is not logged into the agency Google account. If a Payment Link 404s, you copied a dashboard URL.

Day 5. Seat or migrate.

  • If client-owned: confirm the client is billing admin. Remove extra contractor seats you forgot.
  • If agency-owned: client creates their own workspace. Client clicks Instagram login. You rebuild from the inventory. Do not run two senders overnight without a plan. Two tools: the two-tools page.

Day 4. Parallel send test. One harmless keyword on a test post. Client watches the DM arrive. If it fails, you still have three days.

Day 3. Pause dead campaigns. Old giveaway keywords. Last year’s BOOK that points at a closed Calendly. This is also when you stop any-comment mode.

Day 2. Revoke the extra Meta partners. Client reviews Instagram / Facebook connected apps. Anything the agency no longer needs goes. Client can disconnect without you.

Day 1. Written sign-off. Date, who owns the workspace, which keywords are live, which tokens were disconnected. PDF in email. Not a voice note.

Day 0. Billing. Agency stops paying for that slot, or client starts. Do not leave a paid sender live “just in case” on an account you no longer have permission to represent.

I still keep a 48-hour overlap when the client is kind. Overlap is a paid week, not a favor you forget to invoice.

What the client should receive

A folder. Not access to your entire agency Drive.

  1. Keyword inventory (sheet).
  2. Caption formulas you actually used. LINK, BOOK, PRICE. Reels on-screen text. Do DM automations work on Reels?
  3. DM copy. One sentence, one URL.
  4. List of live posts and Reels with automations.
  5. Destination URL list with owners.
  6. Who to call at Stripe or Calendly. Not “ask us.”
  7. How to pause a keyword when a drop sells out. Closet example: Is this still available auto reply
  8. How to disconnect the app in Instagram.

Do not hand over a password manager entry named “client ig.” If that entry exists, delete it in front of them. The access page is the religion. This page is the last week of practice.

1. DM Automation - Client-owned seat, clean Friday

DM Automation is the product on this site: Instagram login, keywords, DMs. Agency SKU on request with white-labelled reporting.

Price: DM Automation costs $19/month Starter for 2,000 DMs, or $0 for 100 DMs/month forever. Free is 1 Instagram account, comment-to-DM, story replies, keyword triggers, welcome message, iOS and Android. Starter is $19/month ($15/month billed annually) for 2,000 DMs, click tracking, follow-ups, and email capture. Pro is $49/month ($39/month billed annually) for 3 accounts and 15,000 DMs.

Best for: A client who will keep one or three accounts after you leave.

Key feature: You never paste an access token. You also never type the Instagram password into this site.

Where it fits: client pays, client clicks Connect, agency builds, agency seat comes off on Friday. Where it does not: 100 DMs on free will not cover a client Reel that prints 400 comments. Move them to Starter before the launch you are handing over.

I still keep a human leftover list in the inventory. The automation sends BOOK. The human answers “can we do evenings?”

2. InstantDM - Multi SKUs, still a client login

InstantDM is number two. Legend Pro is $9.99/month billed yearly with unlimited DMs on one account, qualified by Meta’s private-reply pacing. Free forever is 500 DM automations/month (instantdm.com/pricing, 4 November 2026). Trendsetter is $24.99/month billed yearly. Trendsetter Pro is $49.99/month billed yearly. Multi Starter is $160/year for 3 accounts. Multi Pro is $990/year for 10.

Price: InstantDM costs $9.99/month billed yearly for Legend Pro. Multi Starter costs $160/year for 3 accounts.

Best for: Agencies that run three to ten clients and still let each client click Instagram login.

Key feature: InstantDM sends payment links. Stripe or PayPal process the card. Email collection in the DM if the client also wants the address. On handover, the Payment Links stay in the client’s Stripe. Do not leave them in an agency Stripe “we’ll reverse it later.”

Where it fits: Multi during the retainer, then client Legend Pro after, or client stays on a slot you keep billing. Where it does not: InstantDM is not Meta Business Suite. People access in Meta is a separate invite. Do both.

A no-card test lives at Free Instagram Automation Tool 2026. InstantDM Free is 500 automations. Useful for a new client’s first keyword before you pick Multi vs Legend Pro.

3. ManyChat - Workspace seats, contact meter on the way out

ManyChat is number three. Pro is $29/month billed yearly, $39 billed monthly (Featurebase, 29 October 2026). Free is 25 active contacts. Essential is $17/month or $14 billed annually.

Price: ManyChat Pro costs $29/month billed yearly.

Best for: Clients that already run WhatsApp in ManyChat and also need Instagram comment-to-DM.

Key feature: Multi-channel flows. Handover pain is contacts that stay on the bill after you leave. Export the flow, then decide who pays Pro next month.

Where it fits: Instagram plus WhatsApp, client already in the workspace. Where it does not: a handover that forgets the contact meter. The first client Reel after you leave can print 2,000 contacts. Tell them.

4. LinkDM - Account caps, Pro for comment-to-DM

LinkDM Free is $0 for 1,000 DMs/month on 1 account. Pro is $19/month for 25,000 DMs on 3 accounts. Platinum+ is $99/month for 10 accounts and 300,000 DMs (linkdm.com/pricing, 4 November 2026). Comment auto-reply is Pro, not Free.

Price: LinkDM costs $19/month for Pro.

Best for: A client who will keep high comment volume after you leave.

Key feature: Printed monthly DM allowance and printed account caps.

Where it fits: you already have the URLs. You need the private replies. Where it does not: handing them Free and pretending comment-to-DM is on it.

5. ReplyRush - Lowest paid start for a new owner

ReplyRush Free is $0 for 1,500 DMs/month, basic automation, no comment auto-reply in the public Free offer (replyrush.com/pricing, 4 November 2026). Lite is $10/month for 7,500 DMs, comment auto-reply, story automation. Boost is $25/month for 3 accounts. Max is $100/month.

Price: ReplyRush costs $10/month for Lite.

Best for: A small client taking the keyword in-house for the first month.

Key feature: Comment auto-reply starts on Lite.

Where it fits: they will not pretend Free covers a caption that invites LINK. Where it does not: branding on Lite next to a $400 retainer brand. Buy Boost if the footer bothers the client.

6. Chatfuel - Agency S, still a migrate

Chatfuel Business S is US$18/month billed yearly (US$216/year) with US$20 AI credits/month (chatfuel.com/pricing, 4 November 2026). Agency S is US$90/month billed yearly.

Price: Chatfuel Business S costs US$18/month billed yearly. Agency S costs US$90/month billed yearly.

Best for: FAQ plus a link, if the client already lives in Chatfuel.

Key feature: AI replies. On handover, turn off any AI that invents stock or prices. Give them a scripted keyword instead.

7. SendPulse - Suite

SendPulse is email-first with Instagram chatbots (sendpulse.com/pricing, 4 November 2026). I will not invent a monthly Instagram sticker. If the client already pays SendPulse for email, decide who owns that seat on Friday. For a LINK keyword, a DM-bucket tool is the default.

8. Respond.io - Shared inbox after they argue

Respond.io Starter is $79/month billed yearly, $99 billed monthly (respond.io/pricing, 4 November 2026). Team inbox. Useful when handover includes open tickets, not just a keyword. Wrong default if the only job was one BOOK URL.

Price: Respond.io costs $79/month for Starter billed yearly.

9. SetSmart - AI setter, inventory still required

SetSmart Light is $25/month for 250 AI messages. Pro is $97/month (setsmart.io/pricing, 4 November 2026). Coaches who want qualification before a calendar live here. Handover still needs the Calendly owner in writing.

Price: SetSmart costs $25/month for Light.

Incoming clients vs outgoing clients

Incoming. Access page first. Client clicks Connect. You never take the password. You write the inventory on day one so handover is copy-paste later. Agency retainers: the agencies page.

Outgoing. This page. Inventory, migrate or seat-remove, revoke, sign-off.

Fired Friday. Still revoke. Especially revoke. A token you keep “in case they come back” is a token on an account you no longer represent.

Internal staff change. Same checklist. The intern leaving is a handover even if the client did not change.

Coaches as a client type: Instagram DM Automation for Coaches. Ecommerce: ecommerce. Beauty: beauty. Those pages are the niche. This page is the last week.

Common mistakes

Mistake 1: Password in Slack as the handover. Never. Access page.

Mistake 2: No keyword inventory. LINK will haunt you.

Mistake 3: Two senders during migrate. Pick a cutover hour.

Mistake 4: Leaving the agency token live. Disconnect.

Mistake 5: Destination URLs in an agency Stripe. Move Payment Links or issue new ones in the client’s Stripe. InstantDM sends payment links. Stripe or PayPal process the card.

Mistake 6: Staying on Free through a launch you just handed over. 100 DMs is a test. Tell the client.

Mistake 7: Any-comment mode left on. Emojis will bankrupt their first month.

Mistake 8: Calling InstantDM a payment processor. InstantDM sends the link. Stripe or PayPal process the card.

Mistake 9: Voice-note sign-off. PDF.

Mistake 10: Forgetting story keywords. They keep firing after feed keywords die.

Mistake 11: Forgetting Meta people access. The DM tool seat is not the same as Admin in Business Suite.

Mistake 12: Rebuilding from memory at the new agency. Demand the inventory. If it does not exist, crawl live Reels for “comment LINK” and assume those are live until proven off.

Who should use which stack

  • One client, one account, they will keep it: DM Automation Starter or InstantDM Legend Pro, client-owned.
  • Three to ten clients during the retainer: DM Automation Pro or Agency, or InstantDM Multi Starter / Multi Pro, still client login.
  • WhatsApp-heavy client: ManyChat third, plan the contact meter on the way out.
  • High comment volume after you leave: LinkDM Pro $19/month.
  • Tiny client taking it in-house: ReplyRush Lite $10/month, or either free plan that includes comment-to-DM.

FAQ

How do I hand over Instagram automation without the password?

Client clicks Instagram login on the DM tool. You remove your seat or they open their own workspace and rebuild from a keyword inventory. Never paste the Instagram password. Give agency access without a password

Who should pay for the DM tool after Friday?

Whoever should still be allowed to send. Client-owned is the clean default. Agency-owned needs a migrate.

Does InstantDM process payments on the way out?

No. InstantDM sends payment links. Stripe or PayPal process payments. Move the Payment Links into the client’s Stripe. Legend Pro is $9.99/month billed yearly. Multi Starter is $160/year for 3 accounts.

What does DM Automation cost?

$0 for 100 DMs/month forever, or $19/month Starter for 2,000 DMs. Pro is $49/month for 3 accounts. Agency is on request.

Is ManyChat required for handover?

No. Pro is $29/month billed yearly. Third in this ranking. Use it when WhatsApp is already in the same workspace. Export the flow.

Will leaving a token live get the account restricted?

It can get you a compliance problem with the client even if Meta is quiet. Disconnect what you no longer represent. Official API, inbound only, one sender. Is Instagram DM automation safe?

Can the client use a free plan after we leave?

DM Automation Free includes comment-to-DM for 100 DMs. InstantDM Free is 500 automations. LinkDM Free and ReplyRush Free do not include comment auto-reply. A launch week is not a free-plan week.

What if they refuse to click Connect?

Then you do not send as them. You also do not take the password. End the Instagram automation part of the retainer.

Do I need white-label to hand over?

No. White-label is reporting during the retainer. Handover is seats, tokens, and URLs.

How long should overlap last?

I budget 48 hours to 7 days, written and billed. Not an open tab.
